Access Rights for Prospects

User access for prospects allows Master Users and Security Officers to control which additional users on the account can view specific prospects. When a new prospect is created, the user who inputs the prospect (via manual input, vCard or spreadsheet) will be assigned access to the prospect by default. Master Users or Security Officers can access all prospects. In addition, users configured for 'All Sub Accounts' who have been assigned the Account Information UAR (User Access Rights) will also have access to all prospects. If a user has not been assigned to a prospect, the prospect will not be visible in their Contacts tab.

Modifying Assigned Users

Master Users or Security Officers may modify Account User assignment to prospects. Modify user assignment to a prospect by viewing the prospect in the Contacts tab, then click the Configure (gear) icon on the ‘Assigned Users’ panel on the right side of the Prospect Information tab. A window will open with a table that displays all users on the account. Assign or unassign users to the prospect using the check box. Note that Master Users and Security Officers cannot be unassigned (unchecked).

Prospect Promoted to Client

Master Users or Security Officer Users may modify the user access to prospects. Modify user access to a prospect by viewing the Prospect in the Contacts tab, then clicking the Gear icon on the Assigned Users panel on the right side of the Prospect Information tab. A window will open containing a table that displays all active users on the account. Users who are still Pending are not visible in the table and cannot be assigned. Assign or un-assign users to the prospect via the checkbox. Users who do not have sufficient rights to be assigned to the prospect will be grayed out and cannot be assigned. Note that Master Users, Security Officer Users and Users who have access rights to all sub accounts cannot be unchecked.

Account Representative's Allocation Percentage

An Account User may be designated as an Account Representative. If a single Account Representative User is assigned to a prospect, and the prospect becomes a client, the Account Representative will be assigned 100% allocation for the client. If multiple users are assigned to the prospect, and the prospect becomes a client, the Account Representatives will automatically be assigned equal allocation percentages, totaling 100%.

For example, if there are two Account Representative users and one Non-Account User assigned to a prospect and the prospect becomes a client, each Account Representative will be assigned Account Information UAR and 50% allocation to the new client account, the Non-Account Representative User will be assigned Account Information UAR, but no allocation percentage, as only Account Representatives Users are assigned an allocation percentage.
